Using your QR code at the event

Every TheBowList registry comes with its own QR code. Guests point their phone's camera at it and land on your list, with no typing and no searching. Here are the places it does the most good.

Table cards at the shower or reception

A small card on each table is the easiest way to catch guests who forgot to bring a gift, came from far away, or would rather not carry a box home. It also helps the ones who ask “where are you registered?” over dinner.

  • One card per table, plus one by the gift or card box.
  • Keep the message short: “Scan to see our gift list” works better than a paragraph.
  • Print on card stock and stand it in a small frame or tent fold.

On the big screen for cash funds

If you have a honeymoon, nursery or first-home fund, put the QR code up on the TV or projector during a natural pause: after the speeches, during the slideshow, or when the cake comes out. Guests can give from their seat in under a minute.

Big-screen mode shows one fund with a huge code and a short link for anyone who can't scan. You can show how close you are to your goal, which gives the room a fun moment to cheer.

  • Leave it up for at least a minute, and have someone mention it out loud.
  • Keep amounts hidden if you'd rather not show totals. They're off unless you turn them on.
  • Fees are shown to guests before they pay, so nobody gets a surprise.

The welcome sign and the gift table

Download your QR code from the Share tab and hand it to whoever is making your signs, or drop it into Canva. The download is a vector file, so it stays sharp at any size, even on a large welcome board.

  • Leave a white border around the code and don't stretch it.
  • Dark code on a light background scans best. Avoid putting it over a photo.

Invitations and save-the-dates

Many hosts prefer to keep registry details off the main invitation. A small QR code on the details card or the back of the save-the-date is a polite way to share it without spelling it out.

  • Pair the code with a line like “Details, directions and our registry” so it covers more than gifts.

Virtual showers and livestreams

Hosting on Zoom, Teams or a livestream? Share your screen with big-screen mode during the gift or toast segment, and paste your registry link into the chat for anyone watching on their phone.

  • Guests watching on a phone can't scan their own screen, so always drop the link in the chat too.

How big to print it

A rough rule: the code should be about one tenth as wide as the distance people will scan it from. Across a table, 5 cm (2 in) is plenty. From the back of a hall, it needs to be big, which is what big-screen mode is for.

  • Table card: 5 to 6 cm (about 2 in).
  • Invitation insert: at least 2.5 cm (1 in).
  • Welcome sign: 15 cm (6 in) or more.
  • Always test-scan one print with a couple of phones before printing the whole batch.

If your registry has a password

The QR code opens your registry page, so guests still need your guest password. For the event, either add the password to the card or switch your registry to “Anyone with the link” in Settings. Link-only registries stay out of TheBowList search either way.
